1. Scope and contact
This policy explains how the Memo Card service team handles information through memocard.com, the authenticated workspace, and the connected 同声传译 Chrome extension. It covers using the service, purchasing access, sharing study materials, and contacting support. It does not govern unrelated products with similar names or third-party websites you visit.
For privacy questions or requests about your data, email support@memocard.com or use our contact page. Our Terms of Service explain recording permissions and service usage rules.
2. Information we collect
The information involved depends on the features you use:
- Account information: name, email address, profile image, account identifiers, and information supplied through Google sign-in. Authentication records include sessions and connected-account information.
- Lecture and study content: uploaded audio or video, captured audio, session titles, course details, language settings, transcripts, translations, speaker labels, summaries, notes, glossary terms, tutor questions and answers, quizzes, mind maps, and generated infographics.
- Payment and usage records: payment-provider customer and order identifiers, purchase status, access periods, credit balances, usage charges, rewards, and refund records. Payment-card details are entered with Stripe; Memo Card does not store your full card number.
- Sharing and extension information: sharing choices, authorized recipient account identifiers, password-protected link records, connected-device information, and extension authorization records.
- Support information: messages you send, contact details, and relevant account or billing information used to resolve your request.
- Technical and usage information: IP address, approximate region, browser and device information, language, referral and campaign source, visited pages, interactions, timestamps, processing status, and diagnostic errors.
Do not upload information you are not authorized to process. Voices and transcript text may identify other people or reveal sensitive information; consider this before recording a class, meeting, or conversation.
3. How and why we use information
We use account information to authenticate you, secure access, and associate saved work with your account. We process the content you provide to run your chosen transcription, translation, note-generation, and study workflows, and to support replay, search, export, and sharing.
Payment and usage records let us deliver purchased access, calculate charges, prevent duplicate transactions, and resolve billing problems. Technical data helps us diagnose failures, prevent abuse, understand product usage, and improve reliability. Contact information and support messages let us respond to requests and send relevant account or service communications.
Where data-protection law requires a legal basis, these purposes may involve performing our service agreement, legitimate interests in operating and securing the service, complying with legal obligations, or consent where required. You can ask us about the basis applicable to your circumstances. This policy does not replace consent required for recording other people or for optional tracking.
4. Audio capture and the Chrome extension
Workspace recording depends on the audio source you select and the permissions you grant. Uploaded media is sent for processing when you submit it. Live audio may be transmitted to an AI provider while capture is active; saving the finished recording also creates a stored session for replay.
The Chrome extension captures only the one browser tab you explicitly select and start. It does not read webpage body text or capture other tabs, microphone audio, or native desktop apps. It uses selected-tab metadata, capture settings, and authorization information to connect the capture to your account. Captured audio is sent to Memo Card and the AI processing services involved in the workflow to produce transcripts and translated captions.
Stop capture in the extension when finished. You can revoke a connected extension in Settings → Security. Revocation prevents new extension access; it does not remove previous recordings or withdraw data already sent for processing.
5. Cookies and website analytics
Cookies and browser storage support authentication, security, language, theme, and preferences. Our production site also uses Microsoft Clarity and Datafast to understand navigation, product interactions, and reliability.
Clarity can collect behavioral metrics, heatmaps, and session replay showing interactions with website pages. Session replay concerns website activity, not a recording of lecture audio. Its tracking can use first- and third-party cookies and similar technologies. Microsoft handles collected information under the Microsoft Privacy Statement. Datafast collects website usage and referral information under its Privacy Policy.
You can clear or block cookies and site storage through your browser and use available tracking controls. Blocking essential cookies may prevent sign-in or preference persistence. The shared-session pages do not load our global analytics or support widgets. See our Cookie Policy for more information.
6. Sharing and other disclosures
Your saved sessions are associated with your account. If you create a public sharing link, anyone who obtains the link can view the included material. Password and restricted-account sharing provide other access options. A shared session may include recordings, transcripts, translations, notes, and saved learning materials such as tutor answers, quizzes, and infographics.
Review that content before sharing and obtain any necessary permission from others it identifies. You can revoke a link, but revocation cannot erase copies a recipient already saved or distributed. We may also disclose relevant information when legally required or when necessary to investigate fraud, security incidents, or abuse, or protect people's rights.
7. Retention and deletion
Saved recordings and study materials remain available while stored with your account unless you delete them or they are removed for a service or legal reason. There is no single retention period covering every category of information.
Deleting an ordinary session through the workspace removes its stored source and translated audio, transcript records, and associated session data from the active service. Removing a course grouping alone does not delete each recording. Export what you need first. Hiding the supplied demo removes it from your workspace view; it does not delete the public demo's source assets.
You can delete your account in Settings → Security. Account deletion is separate from deleting individual sessions and does not guarantee that every stored media asset or third-party record is erased at the same time. For a broader erasure request, contact us so we can identify remaining material and applicable exceptions.
Payment providers, support services, logs, backups, and separately generated assets may retain records under their own retention rules or for billing, dispute handling, security, or legal obligations. Deleting a Memo Card session does not automatically delete those records or copies held by recipients. Ask us if you need clarification about a specific category; we do not promise immediate removal from every system.
8. Security and international processing
We use account authentication, ownership checks, and sharing access controls to limit access to saved materials. No online service or transmission method can guarantee absolute security. Keep login credentials and sharing passwords private, revoke unused connected devices, and avoid putting sensitive content in support messages unless needed.
Our infrastructure and providers can process information outside your country. Locations and protections vary by provider and service. Contact us for information about the providers and applicable transfer arrangements relevant to your data; we do not promise storage in a particular country.
9. Your choices and privacy rights
You can control what you upload or capture, edit available account and session information, export supported study materials, delete sessions, revoke sharing links, disconnect extensions, and request account deletion.
Depending on your location and applicable law, you may also have rights to access, correct, erase, or obtain a copy of personal information; restrict or object to processing; withdraw consent where processing relies on it; and complain to the relevant data-protection authority. These rights can be subject to verification and legal exceptions. Withdrawal does not undo processing already lawfully completed.
Send requests to support@memocard.com, preferably from your account email, and identify the data or action concerned. We may ask for proportionate information to verify ownership and protect other users. Do not send passwords or full payment-card details. We will address requests within applicable legal requirements and explain any limitation that applies.
10. Younger users and policy changes
Memo Card is designed for education and study workflows, not for collecting children's information. Users must meet applicable age and consent requirements. If you believe a child has supplied information without required authorization, contact us so we can review it and take appropriate action.
We may update this policy when features, providers, or data practices change. The date above identifies this version. Material changes will be communicated through the website or an appropriate account contact channel.
